The next step in the process is implementation. This is an area where many agencies excel, while many others have difficulty. You have spent a lot of effort to find the perfect homecare software solution for your agency. Now that you’ve got it, what do you do with it? There is more involved than just training in order to successfully implement your software.
Here are some suggestions to make sure your software implementation goes smoothly so that your agency and staff become successful product users.
Engage your team early in the deployment process. Share with your team all of the fantastic ways the system will help them. While it will be change that takes some effort from everyone, you’re committed to making the implementation of the software successful. However, to be successful, you will need their help. Encourage them to embrace the changes and let them know that the end results will help them, the agency and most importantly, your patients.
What “has been” doesn’t have to be what “IS.” Look at your processes… now is a great time to change them and make them work even better! Align your processes and people to take advantage of the best aspects of your new software. Just be careful of trying to change too much at one time.
Going from paper to electronic is a big change. Try to keep in mind that it’s not always appropriate to do/keep all of the same paper processes and procedures as you move into the electronic world. The advantage of automation is that faster and better processes can evolve out of implementation.
Work with your vendor to come up with the best implementation plan for your company. They’ve helped hundreds of agencies implement their solution. What are the things they’ve seen work? What things have they seen that didn’t work out so well? This will help you make more informed decisions. Work with them during your implementation to assure that things go as planned.
Implementing a new system takes effort. In many cases you’ve put a significant investment in selecting your homecare software vendor. Rushing the implementation process can turn excitement and anticipation about your new software into fear and dread. A system that is well-used and well-liked by your users will increase your productivity, ROI and likely, the happiness of your organization.
Support your implementation team. Generally, agencies don’t have staff members who are able to focus all of their time on the software implementation. Ensure that those who are working on the project and leading the implementation efforts have Executive support and are empowered to make decisions. Be sure to thank them for their hard work.
Expect some bumps in the road. What major change doesn’t involve at least a bump or two? Don’t expect total chaos during implementation, but do be prepared for bumps. If they don’t happen, that’s awesome! Identify potential problems or concerns as you discover them. Determine a mitigation plan and follow through.
Celebrate the milestones. It’s exciting to be implementing something new. Take the time to pat yourselves on the back when you reach landmarks in your implementation.
At the conclusion of your implementation you will look back and recognize some lessons learned, but more importantly see a more efficient and better ability to focus on patient care, not on paperwork.
